Stalls | Agreements, Prices & Terms and Conditions

Out in the Park is proud to host more than 60 stalls at our annual fair. Stalls offer a wide range of experiences to fair attendees including resources and information about the LGBTIQ+ community; handcrafts, gifts and products for sale; and a big selection of food and drinks.

We are in for another beautiful summer in Wellington and it is time to start your planning for the Out in the Park Fair! This is going to be a big year with the celebrations around the 30th anniversary of Homosexual Law Reform and the incredible talent that has been lined up for this year’s fair.



FINAL UPDATE:

The registration for stalls closed on Friday 28th February 2016. We have over 60 stalls registered for this year's Out in the Park, so we know this year will be a big one! With our event now listed by Wellington City Council as part of "Our Wellington - Summer City #becurious", we are expecting thousands & thousands of visitors!

Our stalls coordinator Phyllis will be in touch by email with our registered stallholders about further procedures.

If you missed out completely on our deadlines and want to have a stall at our Fair, you can contact Phyllis at stalls@outinthepark.co.nz. She will then try to work something out with you.

UPDATE:

We are getting closer and closer to Wellington Pride Festival, we believe this year will be a big one! With our event now listed by Wellington City Council as part of "Our Wellington - Summer City #becurious", we are expecting thousands & thousands of visitors!

Additionally we have some great news! We are extending the "Earlybird" rates right up to February 21st. We are eliminating the "Late Entry" fee but will need to keep the "Regular" prices for the 3 weeks leading up to the event. This will be to ensure any last minute stall holders are included and properly organised.

If you were a stall holder last year but were not able to attend the CubaDupa event, you will receive 50% off of the regular price this year. So please let us know so we can work the price out for you!

Stalls Agreement

This agreement outlines the different, but reciprocal roles and responsibilities Stallholders and Out Wellington Inc. have at Out in the Park.

Publicity

Out in the Park is part of the Summer City Festival and is accordingly included in many national media sources. Out Wellington Inc. has also arranged for publicity in other, complementary sources. We are working hard to ensure Out in the Park has the biggest possible turnout.

Any individual advertising costs outside Out Wellington Inc.’s approved media campaign are at the expense of the stallholder.

Safety

Out Wellington Inc. is working in partnership with Wellington City Council to ensure that Out in the Park is a safe event for all individuals. Security and emergency services have been notified of the event, and a food safety inspector will make an inspection on the day. We expect all stallholders to conduct themselves and their business in a safe manner. Information for food stallholders (including those running sausage sizzles) can be found on the Wellington City Council's site.

Fees and Payment

There are five different types of stallholders:

  • Community Info (non-income earners): No products sold, information/marketing only

  • Community Info (income earning or funded): No products sold, information/marketing only

  • Retail: Selling any type of product including foods that are not consumed on the site

  • Food: Established food selling companies providing foods to be consumed at the site

  • Beverage: Established beverage selling companies specifically selling alcohol related beverages

All stall sites are 3m x 3m and must have a marquee unless providing a food truck or equivalent. Beverage sites however, are 6m x 6m. If desired, they can include power and tables at an extra cost. Stall owners may provide their own banners if they wish.  Terms and Conditions are on the last page of this document.

The stall fees are as follows:

In return for the stall fee Out Wellington Inc. will allocate each stallholder a stall (including the stall area of 3m x 3m, space for other physical arrangements as negotiated, and access to all amenities) at Out in the Park on Saturday 12th of March 2016 or the rain date of Sunday 13th of March 2016.

Application Process

By applying for a stall at Out in the Park 2016 you agree to the points outlined above as well as the Terms and Conditions.

Once your completed Stallholder Application is received, it will be confirmed, and you will receive an invoice for the appropriate non-refundable stall fee. Stall sites and positions will only be allocated once the non-refundable fee has been paid in full. Late bookings for stalls may be accepted up until 4th March 2016, and will be considered on a space availability basis.

Stallholder Liaison

Phyllis is the primary contact for all stallholders in the lead up to Out in the Park, however you may have contact with other Out Wellington Inc. members during this time.

During the course of the day OITP liaison members will aim to ensure everyone’s satisfaction where possible. Any issues can be escalated to the Out Wellington Inc. stall any time throughout the day.

Terms and Conditions

When you book a stall site you accept that these terms & conditions apply:

  • Application does not guarantee your preferred site.

  • Stall sites are only allocated to applications that have PAID for the booking. Early bird discount fee only applies to payment made before 20th Dec 2015.

  • All fees paid are non-refundable

  • WCC require all stallholders meet prescribed safe food handling requirements. Note this may mean asking stallholders to leave the event if they are unable to meet these requirements on the day

  • Food stalls generate a large part of the Fair Day rubbish and to reduce the strain on landfills we are requesting that food stall-holders use recyclable or biodegradable containers, plates, cups and cutlery for their food and beverages. Please encourage your customers to use the re-cycling and compost stations at the Fair.

  • If you have arranged a powered site please bring at least a 6m extension cord (without joins) that has a current PAT tag. All electrical equipment used onsite needs to have current Portable Appliance Test (PAT) tags.

  • All powered sites are supplied by portable generators. Please provide your own surge protection if you are plugging in sensitive electronic equipment [ e.g. microwave, iPad, laptop, till, eftpos terminal, sound system… ]

  • Generators on site must not exceed 60dB. Noisy generators will not be allowed on site

  • Out in the Park happens rain or shine, there are no refunds for weather

  • All vehicles must move slowly within the Fair and follow the site marshals’ instructions at all times.

  • Stallholder vehicles need to be removed from the site. If a vehicle is part of your stall set you must book enough space for it to fit. You may need to order multiple sites, and do remember to allow for tow bar length

  • Out in the Park may make amendments to these Terms and Conditions which we will notify you off in writing
